6 Ways to Automate Your Communications

Business is really about building trust in relationships, thus heartfelt + timely replies to our (potential) customers’ messages will go a long way. Here are 6 ways you can leverage the same message for multiple people:

FAQ

On your sales pages & About page, include a Frequently Asked Questions section. Whether you wrote the information elsewhere on the page or not, this is a great place to gather + reiterate these important details or to provide extra information that could help your reader know + like you more.

Chat bots

Some are very simple to set up & only communicate through options, others leverage AI + a knowledge base, some act as filters before connecting them to a real human. Either way, this is a great way to infuse some personality into your site & create a memorable impression.

Email autoresponder

All inboxes have this feature & it can be a really nice touch – let people know that you’re taking a day off, or wish them a nice weekend, & that you’ll be back soon to address their request. If you enable this by default for a customer support address, this is a great opportunity to give them a few calls to action (review your FAQ, sign up for your newsletter, subscribe to your podcast, book a session, etc.).

Email templates

In cases where people email you often for the same reasons & you need to tailor your reply, you can use saved templates. They’re very useful for requests of all sorts, like accepting guests on your podcast, onboarding new clients, or asking for testimonials. You can even include a paragraph or 2 for special situations & remove them when necessary. Especially for emails that contain instructions, that’s a fantastic way to make sure every detail has been included.

Nurture sequences

When someone joins your email list, you can make them feel welcomed in your world by automating an email series that’ll show them around your best content, tell your story & invite them to explore your offers. These are different from regular email campaigns as they’re sent closer together (every 1-2 days) & you’re expressing your excitement at connecting with them. Make sure to use their name once or twice in each email (insert a dynamic merge tag) to personalize them even more.

Automated responses

Meta gives business owners the ability to send automated messages in response to keywords sent in DMs on Facebook + Instagram. You can personalize your reply with photos, videos & buttons, making them very versatile & easy to brand. This will shorten your average response time & help you gain data insights into your audience.
